Application Letter Template

The following template shows the details contained in your application letter.

Contact information

This always makes the first part of the letter. It contains information of how the employer can contact you.

Personal information (yours)

  • Name (first name, last name)
  • Street address (where applicable)
  • City, state, zip or postal code
  • Phone number (home /cell it is good to give a phone that you could easily be reached)
  • Email address;
  • Date (should be in full and this is the date when the letter was written.

Employer’s information

  • Name: (recipient name)
  • Title (the title of the employer could be used in salutation if the name of the employer is not known e.g. “Hiring manager” or “human resource manager”
  • Company
  • Address
  • City, state, zip or postal code

Salutation

You use “dear Mr. /Ms. Last name” if the name of the recipient is known or “dear hiring manager” if the name is not known. Avoid using gender –specific salutations like “dear Sir/ Madam”

Body

It should include details of what position you are applying for , the reason for applying , where you saw the advert and why you think they should pick you.

First paragraph

Include the position you are applying for. Include the reasons for applying and where you saw the advertisement. Give them reasons why you chose that company.

Second paragraph

Include details of what you would do for the company if they gave you the chance. Include your abilities and experience and qualifications that are relevant to the job you are applying. Mention about your inspiration for applying for that position in that company. Use a clear, simple language that has a good readable font. It is better to use bullets in your letter instead of using one large paragraph that will be boring to read.

Last paragraph

Here you thank the employer for taking time to read your letter and give them contact information and inform them when you will be available for an interview.

Complementary close

Usually ends with “yours sincerely” no matter what your salutation was.

Signature

Handwritten in black or blue pen.
